Our client is seeking a well presented individual who will take charge of all reception duties and who will be focused on providing excellent customer service. You should be methodical and organised in your approach to routine daily tasks, have a good attention to detail and be familiar with multi-tasking. You will enjoy working as part of a team but having a flexible approach is crucial in providing holiday and sickness cover. You will be comfortable in using phone systems and possess a good working knowledge of Microsoft packages.

 

Responsibilities:

  • Answering the telephone and directing calls
  • Welcoming visitors and ensuring that visitor procedures are followed
  • Dealing with outgoing mail and parcels
  • Maintaining meeting room bookings
  • Issuing details of third party visits and arranging buffets if required
  • A variety of administration duties including, typing up memos, preparing address labels, scanning documents and maintaining employee log sheets and clockcards.

 

Skills/Attributes/Experience:

  • Previous experience within a Receptionist role is ESSENTIAL
  • Previous experience of a multi-line switchboard is ESSENTIAL
  • Well presented with a professional appearance and attitude
  • Excellent verbal communication skills
  • A good working knowledge of Microsoft packages, including Word and Excel

Secretary/Administrator (Part time - 22.5 hours)

Our client is seeking is experienced Secretary will who will be working collaboratively with a wider team of PA's, secretaries and admin staff to provide a high standard of support to a professional services team. You will work effectively to support the team by receiving telephone calls from clients, contacts, external and internal staff. You will have a good knowledge of administration skills and be able to support the reception with cover during busy times.

Responsibilities:

  • Receive telephone calls from clients, contacts and external & internal staff. Transferring calls and relaying messages to the team where necessary
  • Typing of letters, reports, agendas, proposals, PowerPoint presentations and other general correspondence
  • Diary management - arranging meetings, booking meetings rooms, conference call lines, arranging travel, accommodation, lunches, and car parking places
  • General administration duties including photocopying, scanning, binding, all aspects of filing, processing incoming and outgoing post, opening and distributing mail
  • Supporting reception with cover during busy times and absence to cover all reception duties
  • Researching and applying events to the centralised networking calendar, providing support at marketing events and various other administration duties on an occasional ad hoc basis

Skills/Attributes/Experience:

  • Experience in a similar Secretarial/Administration role is ESSENTIAL
  • Good working knowledge of Microsoft Office
  • Enthusiasm and a self-managing attitude are essential
  • Ability to prioritise workload
