Transition and Project Coordinator

Our client is seeking to appoint an experienced individual to work independently and within wider teams to support both internal and external live projects and the transition of new customer contract wins into a live operational service. You will be responsible for day to day progress of all allocated projects and transition projects under the guidance and support of the project owner.

This highly important role within the business will interact with all departments to ensure projects and transition activities stay on track, meet business objectives and exceed customer expectations.

You will engage internally & externally to make sure all the correct processes, procedures, systems and people are in place for any type of new project take-on. You will also be responsible for various weekly and monthly reporting both internally and to customers.

Salary: £28,000 - £33,000 per annum

Main Responsibilities:

• Utilise existing PMO documentation and reporting templates inc: Highlight Reports, Action, Risk & Issue Logs, Milestone Reports and Project Financials, etc.

• Manage internal and external customer projects when required

• Project reporting and reporting to Senior Management

• Manage and compile Project related financial and KPI information

• Oversee project costs and ensure finances are well managed

• Provide and maintain a capacity planning and resource tracking service across projects

• Update and maintain the Risk Log, Action Log, Decisions Log, and Issue Register

• Ensure cross-project dependencies are managed and the dependency log is accurately maintained

• Coordinate project closure to distil good practice and ensure lessons learned are logged

• Prepare regular status reporting to all relevant levels of the business

• Ensure efficient change control methods and process are utilised

• Work closely with the Customer Support Team and other relevant departments to inform them of new projects and potential impacts on their teams

• Work closely with external 3rd party service providers to ensure project quality and customer satisfaction 

 

Skills/Experience:

• Experience in a similar role is ESSENTIAL

• Experience of managing the complete lifecycle of a project with project teams of 2 to 15 people

• In possession of, or working towards an AGILE or PRINCE2 (or equivalent) qualification

• Experience of transitioning new customer contracts into service operations

• Strong skills in creating and maintaining project plans, including risks, actions, issues, dependencies

• Highly efficient in resource planning and tasks assignment

• Knowledge of risk management and resource planning

• Highly proficient IT skills in Word, Excel, PowerPoint, and MS project

• Excellent written/oral communication skills for reports and presentations

• Diplomatic ability to influence others at all levels of the business

• Strong and demonstrated ability to build lasting relationships with key stakeholders

• Experience of project level financial management

Senior Project Coordinator

Our client is recruiting an experienced project coordinator to work with the Head of ACD Services and Project Manager, to assist in the coordination and successfully delivery of all business change and/or project activity for clients.

You will also work on behalf of the wider team to maintain client and third-party relationships.

Responsibilities:

  • Build and maintain new & existing client relationships to ensure ongoing client satisfaction, attending client review meetings as required.
  • Act as primary point of contact for all client correspondence & queries
  • Be a point of contact for third-party relationships, including Depositary, Custodian, platforms, data providers & service providers.
  • Assist with the Fund Governance process for all project & relationship, whilst working in collaboration with other departments.
  • Assist in the coordination of all day-to-day business change and/or project related activity within the Business Development team.
  • Assist in monitoring and developing project plans and processes in line with client, internal and industry/regulatory changes and identified issues or risks.
  • Act as a point of contact for all internal and external business change and/or project related communications and enquiries.
  • Assist with all client change requests and activity via a project plan & timeline for internal & external circulation and to ensure efficient & effective delivery.

Skills and Qualifications:

Our client is seeking an experienced Project Manager to be a champion of the benefits of project management within the business. You will be responsible for delivering projects as assigned and help develop effective Programme & Project Management.


Responsibilities:

  • Mobilise, manage and lead the project delivery teams as assigned.
  • Lead and influence key business stakeholders across the organisation to implement business change.
  • Identify and embed changes to key business processes to support the implementation of the Digital Strategy.
  • Lead on Stakeholder identification, communication and management throughout, being a trusted source of knowledge and advice on the business transformation activities being undertaken.
  • Manage risk at a project level and escalate appropriately through the Corporate Risk Management framework.
  • Effectively lead diverse teams to achieve delivery, adopting the most appropriate methodology for the change
  • Report effectively to Digital Programme Board and project boards on all elements of project progress. To influence decisions around prioritisation, budget and resource requirements.
  • Work with the Digital Programme Manager, Corporate PMO and Head of Digital to ensure projects align with the identified benefits and Digital Strategy.
  • Champion projects assigned and communicate regarding them at all levels.
  • Produce regular Highlight Reports and ad hoc management status reports

Experience:

  • APM Level C "ProjectsManager"
  • Educated to Degree level or with equivalent experience
  • APMP/PMP/ISEB PM Certificate or equivalent
  • PRINCE2 Foundation or equivalent Lifecycle process experience
  • Desire to continue to learn & develop professionally
  • Experience delivering medium projects with limited complexity.
  • Knowledge of the discipline and progression of professional Project Management.
  • Experience delivering Digital Change and transformation projects, for example Microsoft 365.
  • Experience delivering software development projects working with bespoke software.
