Service Planning Administrator

Our client is seeking an organised, thorough individual with a friendly and professional telephone manner and sound written communication and grammar!

This role is at the heart of the organisation in ensuring service visits are planned, ensuring customers needs and expectations are met and checking contracts/welcoming new companies on-board!

You will work with several teams across the business and be competent on Excel and communicating with engineers as well as providing quotations and processing service job reports!

  • £25,000 - £28,000 per annum
  • Full time, permanent
  • Mon - Fri, 9.00am - 5.00pm
  • Hybrid working - 3 days office, 2 days home-based

  • Work cohesively and supportively as part of the Service, Engineering and Spare Parts Teams
  • Keep informed and maintain a fully connected relationship with the Operations Manager
  • Plan service visits for engineers, ensuring our customer’s needs are met and taking into consideration engineering capacity and other pre-planned engineering work
  • Check new Service Contracts before they are sent to customers and advise customer Account Manager of any changes before contracts are renewed
  • Plan which SSP (Service Spares Packs) are needed for service visits, working closely with the Warehouse Co-Ordinator
  • Process and invoice service job reports
  • Quote customers for follow-up parts after engineering visits and proactively chase
  • Plan regular services on hire machines
  • Compile quotations for critical spare parts for new machines
  • Prioritise a busy workload and find next day jobs for engineers
  • Provide telephone and administrative support to engineers

Dispatch Supervisor

Due to continued growth, our client is seeking to appoint two dynamic and driven Dispatch Supervisors with proven experience to be responsible for their warehousing function and team. You will ensure stock is received, stored, etc to meet business demands. Reporting into the Operations Director, in a fast moving 24 x 7 warehouse environment, you will be able to work across multiple sites as required and will have excellent verbal and written communication skills, together with a genuine passion for ensuring customer satisfaction targets are met!

Location: Bilborough

Salary: £20,000 per annum

Full time, permanent


• Responsible for all Warehouse functions across the business

• Ensuring stock is controlled and all orders are picked and shipped correctly

• Responsible for maintaining stock accuracy via regular stock takes

• Responsible for the Picking and packing stock function for orders to SLA’s

• Provide late or early shift cover

• Ensure ISO Quality measurements are met and a "serviceexcellence" ethos is promoted

• Adhere to "bestpractices" across the Operations Team

Supervisory Duties:

• Providing training of new staff

• Day to day supervision of Despatch staff ensuring high standards are maintained at all times

• Providing support to all team members and wider

• Holding regular meetings if/when necessary to increase performance or communications

• Assist in creating a winning team culture

Skills and Experience:

Able to work across multiple sites as required

• Good knowledge of MS Office packages

• Excellent telephone manner and interpersonal skills

• Excellent oral & written communications skills

• Able to work as part of a team

• Good org/planning skills

• Ability to prioritise & organise own work

• Ability to apply initiative to non-standard problems
